How to send a wedding invitation to 300 families on WhatsApp

To invite 300 families on WhatsApp, send each family its own message rather than one broadcast or a group post. WhatsApp's own tools are built for small audiences: a broadcast only reaches people who have saved your number, and a message that has been forwarded many times gets restricted. A personal message per family, ideally with their name and their own link, is the only approach that reliably reaches everyone and gets read.

Why a broadcast list misses people

A WhatsApp broadcast list looks like the obvious answer, but it only delivers to people who have your number saved in their phone. Distant relatives, your parents' friends and anyone who knows you through someone else often don't, and they simply never receive it. Nothing tells you who was missed. WhatsApp also caps the size of a broadcast list (256 contacts at the time of writing), so 300 families means at least two lists.

Why the family group is the wrong place

Posting the invitation in a big family group feels efficient, but it treats every family as the same guest. Not everyone in the group is invited to every function, and some invited families aren't in the group at all. The message is also buried within an hour under replies, stickers and good-morning forwards, and nobody knows who has actually seen it.

Why forwarding breaks down

Asking relatives to pass the invitation on hands your guest list to other people. WhatsApp also marks a message that has travelled through several forwards as "Forwarded many times" and limits how many chats it can go to at once, which slows the chain down just when you need it. And a forwarded invitation, by definition, doesn't carry the recipient's name.

What works: one message per family

  • Start from a list: family name, the phone number of the person you'll message, and which side they're on. A spreadsheet is enough.
  • Decide which functions each family is invited to before you send anything, so the office friends don't receive the haldi details.
  • Send each family a short message with their name and the link. Doing this by hand takes most of an evening for 300 families, so split the list between the two sides of the family.
  • Keep track of who has been sent to, so that nobody gets it twice and nobody gets missed.
